Confirm the server is actually retired

A server that appears unused may still provide authentication, backups, monitoring, or an application that only runs occasionally. Before arranging server recycling, have your IT team confirm its role and authorize its retirement. Record the host name or asset identifier in your internal inventory, but share only the information the recycler needs. Do not include passwords, private keys, or configuration exports in an ordinary pickup inquiry.

Identify every installed storage component

List installed drives and any loose media associated with the system. Where required by your process, map media identifiers to the server asset number. A count of server chassis alone does not describe the amount of data-bearing material. Ask the responsible administrator to review the system and identify components requiring special handling rather than guessing from the outside of the cabinet.

Describe how the hardware will be collected

Explain whether servers are already removed from racks or remain installed. Include the number of racks or rooms, access restrictions, stairs, dock availability, and any lifting constraints. Confirm who is responsible for disconnection and physical removal; a recycling pickup should not be assumed to include live-system shutdown or rack work. Keep active and retired equipment clearly separated.

Agree on destruction and equipment evaluation

Specify which media must be destroyed and what documentation should be provided. If reusable hardware will be evaluated for payment, confirm which components are included and how storage is handled before resale. Keep your approved inventory and transfer paperwork together. Stark can review a server recycling request using equipment counts, model information, loading details, and data-destruction requirements, then confirm the collection scope with your team.

Quick checklist

  • Verify retirement authorization.
  • Account for installed storage.
  • Clarify disconnection and removal responsibilities.

Common question

Does server collection automatically include rack removal?

Do not assume it does. Describe whether hardware is installed, disconnected, or already staged, and confirm who performs each task. Shutdown, disconnection, rack work, movement, and collection should have clear owners so a recycling appointment does not create an unexpected live-system interruption.
