Keep the approved release list

Your starting reference should be the final list of assets authorized to leave, not an early estimate from the first inquiry. Preserve any changes made on collection day, including withheld equipment, count corrections, and unreadable identifiers. Assign a project number or clear file name so the records can be found without relying on one employee’s inbox.

Compare identifiers consistently

Check like against like: a drive serial number, chassis serial number, and internal asset tag are different fields. Where your process requires a mapping between them, use that mapping rather than treating unmatched formats as proof of a missing item. If the certificate and inventory use different identifiers, ask for clarification before closing the project.

Create an exception list

Record missing identifiers, duplicate entries, unexpected counts, and any other mismatch. Include the question, supporting record, person responsible, and resolution. Avoid editing original documents to make the totals appear to agree. Keep the explanation alongside the records so someone reviewing the file later can understand what happened and how it was resolved.

Separate financial closure from data closure

A later equipment-resale payment does not replace a destruction record, and a destruction certificate does not describe every financial term. Review each part against its own agreement. Stark customers can specify the serialized records required for data-bearing equipment before pickup. After receipt, review those records promptly and raise discrepancies with the team while the collection details are still readily available.

Quick checklist

  • Compare matching identifier fields.
  • Track unresolved differences.
  • Keep the resolution with the file.

Common question

What if a serial number does not match?

Keep the original records and raise the discrepancy with the provider. First confirm that you are comparing the same type of identifier, then document the investigation and resolution. Do not overwrite the original inventory simply to make it agree with the final certificate.
